Custom Cruise Event Management

     For busy people, we do it all for you – from sourcing to onboard implementation. (If you work with destination management companies, consider us your DMC for the high seas—your insurance for a successful program.)

    The management fee for this package of custom services is based on the complexity of your agenda, cruise length and destination, lead time, group size and seasonality. Seasite’s sister company, Landry & Kling, will manage your Custom Cruise Event, providing the following additional services:

    Cruise Event Manager

    Under your direction, a dedicated Cruise Event Manager will serve as your single point of contact to initiate plans, recap day to day communications, document all aspects of your program and assist you to ensure continuity throughout; from sourcing through the planning process and onboard implementation all the way to final wrap up and debriefing

    Coordinate Ship Inspection

    Landry & Kling will accompany you on a ship visit or site inspection cruise, prepare the detailed agenda of items to be considered onboard, and arrange meetings with key shipboard personnel and the right ground operator in each port of call as needed. (Site inspection billed at cost)

    Prepare Program Documentation

    Includes day to day communications and documenting all cruise meeting logistics:

    • Summary Chart: Recommended time and location of business and social events, port activities
    • Detailed Program Recap: Outlines specs plus event orders for each shipboard function
    • Manifests: Alpha and Cabin lists, Arrival/Departure lists if we’re coordinating air, and other manifests as applicable
    • Staff Assignments: Recap of responsibility areas and day-by-day schedules
    • Cruise Tickets: Quality controlled and shipped to you in bulk

    Manage Onboard Implementation

    One Landry & Kling representative will sail with you, working behind the scene, to ensure the seamless implementation of your program. (Additional cruise savvy staff available as needed.)
    • Serve as your dedicated Convention Services Manager onboard
    • Oversee embarkation /debarkation process
    • Provide info for, and staff the hospitality desk
    • Coordinate dining arrangements: seating requirements, VIP tables/invitations
    • Pre-check A/V equipment and room set-ups for meetings, receptions, awards
    • Coordinate shore excursions, golf tournaments, beach parties
    • Oversee distribution of room gifts, other communications
    • Brief your program staff as appropriate
    • Review your master account daily

    Coordinate Additional Trip Elements

    If you wish, Landry & Kling will serve as your one point of contact for all other program needs such as air, pre/post hotels, transfers, ground operators in ports of call, events or excursions ashore, special VIP arrangements, room gifts, printing, shipping of materials, you name it.

    Provide General Consultation

    If you want your participants to have a “red carpet” cruise experience they couldn’t duplicate on their own, we have creative ideas for customizing your program, from themed events onboard to exclusive events ashore. We also provide input for your printed materials such as program agenda, announcements, promotional material, registration packets, etc.

    Reconcile Final Accounts

    In addition to daily oversight of your master accounts, we handle the financial reconciliation for all program elements coordinated through Landry & Kling, providing a Cost-Avoidance Report to demonstrate ways in which we’ve created cost-savings for your program.
